What's new?

Employees now get a separate message for each benefit, instead of one long email listing everything at once. When a health plan, pension, spend allowance, life cover or custom benefit is ready, they hear about that benefit on its own, with a clear next step.

If setup isn't finished, we send a couple of reminders to choose a health plan, complete their pension or activate their Kota card. Health, pension and spend updates also arrive as notifications in the Kota app, and tapping one takes employees straight to the right place.

Employees can now see, add and remove dependants directly on benefits that cover them, in the Kota app and on the web. No more tracking family members over email or spreadsheets.

Once a dependant has been added to one benefit, they can be added to others without re-entering their details. Every request is reviewed by our team, so changes are checked against the provider's rules before they go through.

Benefit rules can now target employees by much more than length of service. Build a rule from job title, region, salary, date of birth and custom fields from your HR system, like "probation passed", and combine several conditions in one rule. One rule can also cover several benefits in the same country.

Preview who matches before you save, and exclude anyone who shouldn't be included. The rule runs straight away for existing staff, then daily as new people join or their details change, so the right people are enrolled or invited automatically.

If your company runs several entities or offices on Kota, you no longer need a separate login for each one. A single account can now be an admin across multiple organisations and switch between them in a click.

Admins now have a full audit log under Settings: a record of every significant change in your organisation, showing who made it, when, and who it affected. It's read-only, so the record can't be edited or deleted.

Filter by event type, date range, who made the change, or the person affected. Whether it was an admin, an automated rule, your HR system or Kota, you can check what happened without raising a support request.
